1. Introduction

VoiceSync (“we”, “our”, or “the bot”) is a Discord bot that provides voice channel management, experience (XP) and leveling, and related features. This Privacy Policy explains what data we collect, how we use it, and your choices regarding that data. By inviting or using VoiceSync, you agree to this policy.

2. Data We Collect

We collect and store the following in connection with the bot and related website:

• Discord identifiers: User IDs and server (guild) IDs, when you use the bot or are in a server that uses it.
• Voice activity data: To provide XP and leveling we track whether you are in a managed voice channel, and for how long you are unmuted and undeafened (active time). We may also store aggregated streaming and camera time for statistics. We do not record or store voice or video content.
• XP and level data: Per-server and optionally global XP, level, and related stats (e.g. time in voice, autoban slots) for profiles and leaderboards.
• Preferences: Your notification preference (e.g. level-up pings on/off) per server.
• Server configuration: Settings chosen by server administrators (e.g. notification channel, managed channels). This is tied to guild IDs and is necessary to operate the bot.
• Website usage: Visiting our status or other pages may involve standard server logs (e.g. IP, access time). We do not use tracking for advertising.

3. How We Use Your Data

We use the data above to:

• Provide and operate the bot (voice features, XP, leveling, notifications, autoban, configuration).
• Calculate and store your level, XP, and stats and show them in commands (e.g. /profile).
• Send level-up or other notifications when enabled.
• Run and improve the service, fix errors, and comply with legal obligations.

4. Storage and Retention

Data is stored on servers we use to run the bot and website. We retain it for as long as needed to provide the service and as required by law. If a server removes the bot, we may delete or anonymize that server’s data in line with our internal practices. You can request deletion of your data.

5. Sharing and Disclosure

We do not sell your data. We may share or disclose data only:

• As necessary to operate the service (e.g. with hosting or infrastructure providers under strict confidentiality).
• When required by law, court order, or to protect our rights, safety, or the safety of others.
• In connection with Discord’s API and Discord’s own policies (e.g. when we send messages or read voice state).

6. Your Rights

Depending on where you live, you may have the right to:

• Access: Ask what data we hold about you.
• Deletion: Request deletion of your personal data (e.g. user ID, XP, preferences). Note: deleting your data may prevent you from using bot features that rely on it.
• Opt-out of notifications: Use in-bot commands (e.g. !notif off) to stop level-up pings.

7. Security

We use reasonable technical and organizational measures to protect your data against unauthorized access, loss, or misuse. No system is completely secure; we cannot guarantee absolute security.

8. Children

VoiceSync is not directed at children under 13. We do not knowingly collect data from users under 13. If you believe we have collected such data, please contact us so we can delete it.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and update the “Last updated” date. Continued use of the bot or website after changes constitutes acceptance of the revised policy.
